PSTL: Item Number Combiner and Modifier
Fat finger an item number and need to make a change? Created a new item number for an item that already exists in GP? It's okay...we've all been there.
Thankfully, GP has provided more helpful tools in the Professional Services Tools Library to address these types of issues.
Item Number Modifier: Change an item number and its historical data
Item Number Combiner: Combine two numbers and its historical data
Utilizing these tools will not result in a loss of work or open records, and historical data. Instead the records are updated to reflect the changes made through the tool so it looks as though it was always correct!
Professional Services Tools Library comes with the standard GP install, instructions on adding this tool to GP can found on our blog, or contact any of our Lagom consultants for assistance at Info@LagomLLC.org.
It is important to note that with this tool, and any PSTL tool, we recommend taking a backup before beginning. Because data is being changed its also important to ensure that no one else is logged in while making these changes. We also recommend that the "sa" user be used for these changes.
To use these tools start by going to PSTL. Navigate to:
Homepage Toolbar> Professional Services Tools Library
Once in PSTL, these tools can be located in the Inventory Tools section.
To use the Item Number combiner click the radio button next to the tool and click "Next". From there, complete the following data entry;
A.) Enter the Item Number that you wish to be "consumed" (the one you wish to have not be available at the end of this routine.
B.) Enter the Item number you wish to remain at the end of this into the "Combined
into Item Number" field.
C.) Verify the information is correct and then select "Convert".
A report will populate to confirm the changes made.
This action can be done en-masse by uploading a simple spreadsheet with a column for both the Starting Item Number (Column A) and the Combined into Item Number (Column B). You can combine multiple starting item numbers into a single item number (i.e. 1006, 1007, and 1008 all become 1000).
To use the Item Modifier, click the radio button and click "Next". From there, complete the following data entry.
A.) Enter the item number that you want to modify.
B.) Enter what you want the new item number to be for the item number listed in
step A. Note that it cannot be an item number that already exists. If that is
your goal, please see our notes above on combining two or more items into
one.
C. Review your data to confirm it is correct and click "Convert".
A report will populate to confirm the changes made.
